WinRx POS Integration: Connecting Your Point of Sale to WinRx

What WinRx does, how a POS connects to WinRx pharmacy software, and what a real integration should do so prescription pickups aren't entered twice.

WinRx POS Integration: a pharmacist scans a prescription bag beside a POS terminal

WinRx is the dispensary software many Canadian pharmacies use to fill prescriptions, bill drug plans and keep the patient record. The front counter, with checkout, payments and front-store sales, runs on a point of sale. How well the two connect decides how much retyping your team does every day.

Key takeaways

  • WinRx runs the dispensary. A POS runs the counter. Pharmacies need both.
  • A real WinRx POS integration is live and two-way: ready prescriptions flow into the POS, and pickups flow back to WinRx.
  • "WinRx compatible" can mean anything from a nightly export to a live connection, so ask what's written back and when.
  • If staff type prescription amounts into the till or mark pickups in WinRx later, the two systems aren't integrated.

What is WinRx?

WinRx is pharmacy management software developed by Applied Robotics Inc. Pharmacies use it to dispense prescriptions, bill provincial plans and private insurers, and keep patient records. Its current version, WinRx 10, also offers add-on modules for things like faxing, scanning, delivery, reminders and appointments.

What WinRx doesn't replace is the retail side of the store: front-store inventory, card payments, loyalty and promotions. That's the point of sale's job.

Why WinRx pharmacies need a connected POS

When the POS and WinRx don't talk to each other, the same prescription is handled twice:

  1. The dispensary fills it in WinRx.
  2. At pickup, the counter rings it up in the POS by typing the amount.
  3. Someone goes back to WinRx to mark it as picked up.

Each step is small. Across a full day of pickups it adds up, and every manual step is a chance for the POS and WinRx to disagree about what was paid and what left the store.

What a WinRx POS integration should do

Show the live prescription queue

The counter should see which prescriptions are ready, straight from WinRx, without printing a list or calling the dispensary.

Bring adjudication results to billing

Staff should see what the patient owes after their plan has paid, right at the till. Typing an amount from a label is where errors creep in.

Add every ready prescription in one scan

Scan one ready prescription and the patient's other ready prescriptions should join the sale. Patients don't leave without the second bag, and staff don't search for it.

Write the pickup back to WinRx

This is the part most "compatible" setups skip. When the sale completes, the pickup, and any consultation or delivery, should be logged back to WinRx automatically. That's what removes double entry.

Keep the front store in the same system

Over-the-counter sales, loyalty, promotions and inventory should run through the same POS. Then one till handles a patient who picks up a prescription and buys cough syrup.

Signs your current setup isn't integrated

  • Staff type prescription amounts into the till by hand.
  • Pickups are marked in WinRx after the patient has left, or at the end of the day.
  • The counter calls the dispensary to ask what's ready.
  • End-of-day totals in the POS and WinRx need reconciling.
  • A patient's second ready prescription sometimes turns up on the shelf the next day.

If two or more of these sound familiar, the POS is working beside WinRx rather than with it.

Other tools that work alongside WinRx

A POS is the most common addition to WinRx, but not the only one. WinRx pharmacies also add:

  • A patient refill app. Patients order refills from their phone, and orders arrive in WinRx.
  • Delivery tracking. Route planning, signature capture and proof of delivery for prescriptions that leave the store. Our guide to pharmacy delivery software covers what to look for.
  • Fax and document intake. Incoming faxes read with OCR instead of retyped.

For each one, ask the same question you'd ask of a POS: does it write back to WinRx, or does someone retype the result?

MediPOS: a pharmacy POS built for WinRx

MediPOS was built by pharmacists for WinRx pharmacies. It shows the live WinRx prescription queue, brings adjudication results to billing, adds a patient's other ready prescriptions when one is scanned, and writes pickups, consultations and deliveries back to WinRx with no double entry.

The same system runs the front store: inventory with auto-ordering to wholesalers, integrated card terminals, loyalty and flyer pricing, and 15 built-in reports. For a patient refill app, MediRx sends orders into WinRx as they happen, with no new hardware or network changes.

Frequently asked questions

What is WinRx?

WinRx is pharmacy management software from Applied Robotics Inc., used by Canadian pharmacies to dispense prescriptions, bill drug plans and keep patient records.

Does WinRx include a point of sale?

WinRx is dispensary software. Pharmacies pair it with a POS for checkout, payments and front-store sales, which is why the integration between the two matters.

What does "WinRx compatible" mean for a POS?

It can mean anything from a nightly export to a live, two-way connection. Ask whether pickups are written back to WinRx automatically. If they aren't, staff are still entering each pickup twice.

Can I keep my card terminal when I switch to a WinRx-integrated POS?

Often, yes. Ask the POS vendor which Canadian card terminals they integrate with before you switch.

Does MediPOS work with WinRx?

Yes. MediPOS is fully compatible with WinRx. It shows the live prescription queue, brings adjudication results to billing and writes pickups back.
